We are seeking a professional, detail-oriented, and client-focused Receptionist to join our public accounting firm. The receptionist is the first point of contact for clients, vendors, and guests, and plays a critical role in creating a welcoming and professional environment. This individual will also provide general administrative support to ensure smooth day-to-day operations.
Key Responsibilities:
Client Interaction & Front Desk Duties
- Greet clients, visitors, and staff in a courteous and professional manner.
- Answer and route incoming phone calls to appropriate staff members.
- Maintain a tidy and organized reception area.
- Manage the firm’s main inbox and forward inquiries appropriately.
Administrative Support
- Schedule client appointments and maintain meeting room calendars.
- Assist with scanning, copying, mailing, and filing documents.
- Maintain office supplies inventory and place orders as needed.
- Receive and distribute mail, packages, and courier deliveries.
- Prepare and assemble tax return folders or client packets during busy seasons.
Internal Coordination
- Support partners, managers, and administrative staff with various tasks.
- Assist with organizing firm events, meetings, and training sessions.
- Maintain confidentiality of sensitive client and firm information.
Required Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree a plus)
- 1–2 years of experience in a receptionist or administrative role, preferably in a professional services or accounting environment.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel).
- Professional appearance and demeanor.
- Ability to multi-task, prioritize, and maintain composure under pressure.
Preferred Qualifications:
- Experience with accounting/tax software (e.g., CCH, ProSystem fx, Thomson Reuters).
- Familiarity with handling sensitive financial or client documents.
- Bilingual (if applicable to client base).
Work Schedule:
- Full-time, Monday–Friday, typically 9;00 AM to 5:30 PM
- Overtime or extended hours may be required during tax season (January–April)
Compensation & Benefits:
- Competitive hourly wage or salary – $50,000
