We are seeking a professional, detail-oriented, and client-focused Receptionist to join our public accounting firm. The receptionist is the first point of contact for clients, vendors, and guests, and plays a critical role in creating a welcoming and professional environment. This individual will also provide general administrative support to ensure smooth day-to-day operations.

Key Responsibilities:
Client Interaction & Front Desk Duties

  • Greet clients, visitors, and staff in a courteous and professional manner.
  • Answer and route incoming phone calls to appropriate staff members.
  • Maintain a tidy and organized reception area.
  • Manage the firm’s main inbox and forward inquiries appropriately.

Administrative Support

  • Schedule client appointments and maintain meeting room calendars.
  • Assist with scanning, copying, mailing, and filing documents.
  • Maintain office supplies inventory and place orders as needed.
  • Receive and distribute mail, packages, and courier deliveries.
  • Prepare and assemble tax return folders or client packets during busy seasons.

Internal Coordination

  • Support partners, managers, and administrative staff with various tasks.
  • Assist with organizing firm events, meetings, and training sessions.
  • Maintain confidentiality of sensitive client and firm information.

Required Qualifications:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree a plus)
  • 1–2 years of experience in a receptionist or administrative role, preferably in a professional services or accounting environment.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Professional appearance and demeanor.
  • Ability to multi-task, prioritize, and maintain composure under pressure.

Preferred Qualifications:

  • Experience with accounting/tax software (e.g., CCH, ProSystem fx, Thomson Reuters).
  • Familiarity with handling sensitive financial or client documents.
  • Bilingual (if applicable to client base).

Work Schedule:

  • Full-time, Monday–Friday, typically  9;00  AM to 5:30 PM
  • Overtime or extended hours may be required during tax season (January–April)
